Practice
Content services from Canon IMS: one governed place for documents and records, on Canon’s Therefore and leading platforms, with self-enforcing retention.
Document management keeps documents in order throughout their lifecycle. Content services goes further: it brings documents, e-mail, scans, contracts and media under one governed layer and makes them available to people, processes and AI.
Contracts sit in a shared drive, invoices in the finance system, correspondence in mailboxes and the oldest material in boxes nobody has opened in years. Each store has its own folder logic, or none. Nothing is wrong until someone asks a question that spans all of them, and then the work is not answering the question but finding everything that counts as an answer. Regulators increasingly expect that search to be provable rather than just possible: NIS2, and DORA for financial services, both assume an organisation can show where a record lives and who has touched it.
Canon organises information management in four movements: Capture, Content, Communicate and Process. This practice delivers the Content layer: one governed home for documents and records, fed by capture on the way in and connected to processes and systems of record on the way out.

One way of naming, versioning and filing that applies everywhere, so a document type lands in the same place regardless of who saved it or which system it came from.
Retention schedules fire on their own, legal holds block deletion, and access rights follow the record rather than the folder it happens to sit in. Every action leaves an audit trail.
One structure for storage, versioning and check-in across the organisation.
Retention schedules per record type, automatic destruction and legal holds. For regulated clients, the same structure that holds a DORA register of information or the records a NIS2 audit expects to find.
Permissions on the record, with a full log of who saw and changed what: the same evidence a NIS2 incident report or a DORA audit will ask to see.
Full text and metadata search across every connected store.
From the moment a record arrives, on whatever channel, to the day its retention period runs out, without a person deciding by hand where it belongs or who is allowed to see it.
The situations this practice is most often brought in for. Each one is a full engagement in its own right.

The consultants who design your process are the ones who run it afterwards. Behind them sit competence centres with deep knowledge of the platforms this practice is built on, so a technical question does not turn into a ticket that travels.
We work with established technology, tell you which platform we propose and why, and deliver advice, implementation, support and managed services under one contract with agreed service levels.
No. We connect stores in stages and migrate per record type, so the archive grows while the business carries on.
It is the Content layer, one of four movements (Capture, Content, Communicate and Process): the governed home for documents and records, with Canon-owned Therefore and IRISNext alongside platforms such as Hyland OnBase, iManage and OpenText.
From your own policy where one exists, and from the statutory minimums for your sector where it does not. The reasoning is documented per record type.
Yes. Records and metadata export in open formats, and that is written into the agreement rather than left to goodwill.
Search covers every connected store, and access, export and erasure are logged against the request.
NIS2 sets a 24-hour early warning and a 72-hour full report for significant incidents. Both depend on already knowing who touched a record and when, not reconstructing it under deadline. Because every access and change is logged by default, that evidence exists before the incident does.
Yes. DORA requires financial entities to keep a register of every ICT third-party arrangement, kept current and available to the supervisor on request. Contracts, amendments and review records sit in the same structure as the rest of the archive, with the same retention schedule and audit trail, rather than being tracked separately in a spreadsheet.
Capture what arrives, understand what it says, and hand it to the system that needs it, with no rekeying, no queue of documents waiting for someone to read them.
