Digital compliance

More digitisation and more data brought new legislation with it. Compliance now has to sit inside the process, not be checked afterwards.

Why this matters

Regulation has caught up with digitisation, and it keeps arriving in waves rather than as one clean update. The EU AI Act, mandatory e-invoicing rules that phase in country by country from 2026, NIS2 and DORA for regulated sectors, and the European Accessibility Act for customer-facing communication each add a requirement that used to be optional, or unwritten.

The organisations that struggle are the ones treating this as a checklist to run after the fact: an annual audit, a manual sign-off, a spreadsheet nobody updates. That gets harder every year as the number of rules grows. The organisations that cope build the requirement into the process itself, so retention, access rights, audit trails and signing all happen as a normal part of the work rather than a separate compliance step bolted on afterwards.

Communication is getting faster, more dynamic and more personal. At the same time, organisations have to be able to show what happened and why. That is easiest when the evidence is created inside the process, not reconstructed afterwards.

Six things you must be able to demonstrate

01DataWhich data the organisation uses
02PurposeWhy a message is sent
03ConsentWhich consent applies
04VersionWhich version the customer receives
05Automated decisionsHow an automated decision came about
06AccountabilityWho is responsible

Where this shows up

Content Services & Document Management

One place where documents live, with rules that hold without anyone having to remember them.

Process Automation

Workflows, integration, RPA and AI agents orchestrated in one governed layer, with uniFLOW sysHUB and Workato.

Platforms we use most in this sector

Which platform we propose depends on your process and systems. These are the ones we deploy most often here, delivered by Canon IMS under one contract.

Canon IMS is certified to ISO 27001 and holds a SOC 2 Type I report, and builds compliance into the platforms it delivers.

Frequently asked questions

Which regulations does digital compliance cover?

Among others the GDPR, NIS2, DORA, the AI Act and the European Accessibility Act, depending on your sector.

How is compliance built into processes?

Through retention schedules, access control, audit trails and approval workflows configured in the platforms, instead of checks afterwards.

Can you prove compliance during an audit?

Yes. Audit trails and records management provide the evidence auditors ask for, without reconstructing it afterwards.
