Managed services

Running an information management estate day to day is a job in its own right. Managed services gives you one accountable team for that job, instead of splitting it across internal staff and several vendors.

One accountable team, not a mix of owners

When a platform sits half with your own IT team and half with a vendor’s ticketing system, an issue can bounce between the two before anyone actually owns it. Managed services puts one team in charge of the whole estate: the platforms, the integrations between them, and the processes that run on top, so there is one place to call regardless of what actually broke.
That team does not disappear once the estate is stable. Ongoing improvement is part of the service: recipes, workflows and configurations get reviewed and tuned as the business changes, not only when something fails.

The full lifecycle, from go-live to whatever comes next

Managed services picks up where implementation leaves off and stays for as long as the platform runs: monitoring and support day to day, plus the discovery and design work when the process itself needs to change. When a platform eventually reaches the end of its useful life, decommissioning and data removal is handled by the same team, not handed off cold to someone new.

Sized to how many sites and systems you run

A managed service for a single practice looks different from one covering document processing, content services, process automation and customer communication together across multiple locations. The scope, the response times and the reporting are agreed up front and reviewed as the estate grows, rather than fixed at the size of the first contract.

Compliance stays continuous, not periodic

Where NIS2, DORA or GDPR apply, an outsourced operating model does not reduce your accountability. Retention, access control and incident reporting are built into how the managed service runs day to day, so the evidence an audit asks for already exists rather than being reconstructed under deadline.

Capabilities

Single point of ownership: One accountable team for the whole estate, not a split between internal staff and several vendors.

Ongoing improvement: Recipes, workflows and configurations reviewed and tuned as the business changes.

Full lifecycle coverage: From implementation through day-to-day operation to eventual decommissioning.

Scoped to your estate: Coverage and response times agreed to the number of sites, systems and practices involved.

Continuous compliance: Retention, access and incident-reporting requirements built into daily operation, not checked afterwards.

Regular reporting: Visibility into what is running, what changed and what needs attention, on a cadence you set.

Canon Hosted Managed Service and European hosting: Platforms such as Quadient Inspire can run as a Canon Hosted Managed Service, with options to keep data and operations within Europe.

Where it fits

Managed services is the ongoing version of the Support and manage phase of our approach: not a one-off intervention, but the team that keeps running the estate for as long as you need it.

Frequently asked questions

How is managed services different from support and maintenance?

Support and maintenance keeps a specific platform healthy. Managed services takes ownership of the whole operating model around it: multiple platforms, the integrations between them, ongoing improvement, and the accountability for how it all runs day to day.

Do you take over platforms we already run internally?

Yes. Most managed services engagements start with an estate that already exists. We assess what is running first, so the handover is based on how it actually works, not how it was originally documented.

What happens if our needs change after the contract starts?

Scope, response times and reporting are reviewed on a regular cadence, not fixed for the life of the contract, so the service can grow or narrow as the estate does.

Who is accountable if something goes wrong across two systems at once?

We are. Managed services exists specifically so an issue that touches more than one platform has one team responsible for resolving it, rather than becoming a dispute about whose problem it is.
